Important 2027 Dates
- June 30, 2026: Early Pay Booth Discount Deadline

NEW Exhibitor Application Process!
Applying to exhibit at GAMA Expo 2027
- Complete the booth application.
- This includes indicating your interest in sponsorship & marketing opportunities
- Sponsorship packages will NOT include booth space in 2027 - book your booth early!
- Once your application is approved, you will receive an application approval email with an invoice for payment due.
- A minimum of 50% of your booth fee will be due upon receiving your invoice.
- The remaining balance will be due no later than Dec. 4, 2026.
Additional Notes:
- We will be changing the booth placement process for 2027.
- We will no longer be using priority points for placement but instead we will be curating the exhibit hall to provide a better attendee experience.
- Your application date will be part of the process. Don’t wait to submit your application!
- The Early Pay Discount rate will be available to Expo 2026 attending companies through March 22, 2026
- There was a QR code in your exhibitor packet at Expo and you were sent an email with additional information.
- On March 23, we will open registration up to all potential exhibitors.
- There will only be two price tiers for 2027:
- Early Pay Discount Rate: Valid through June 30, 2026
- Base Pay Rate: July 1-November 30, 2026

- First-Time Exhibitor Booths are limited to the first 50 applicants and to one 10’x10’ booth max.
- Booth sharing is available for an additional $200 with prior approval.
- All final payments must be received in full by GAMA by December 4, 2026.
Booth Terms & Conditions
- You are agreeing to comply with GAMA’s Rules and Regulations.
- You understand that your booth is not guaranteed until paid in full and the exhibiting year GAMA Membership Dues have been paid.
- You are required to carry both worker’s compensation (as it applies your state/country) and liability insurance, submitting a Certificate of Liability Insurance (COI) listing the Baltimore Convention Center and GAMA as additionally insured to exhibit at the event.
- You will be billed for insurance if your COIs are not submitted by the designated deadline.
Exhibitor Registration
For details regarding registering your Exhibitor badges, please watch for/refer to your Exhibitor Newsletters. The process for exhibitor badges is separate from member attendee badges. DO NOT apply for a badge code to obtain your Exhibitor Badges.
Each Voting membership receives two (2) complimentary badges to the show. As an exhibiting company, these additional badges will be added to your exhibitor badge allotment so you can assign them as needed.
GAMA EXPO 2027 Cancellation Policy
The cancellation/refund policy applies to all booth, sponsorship, and marketing asset purchases:
- Cancellations prior to 100 days (January 14, 2027) from the first official day of GAMA Expo shall incur no penalty.
- Cancellations 99-60 days (January 15, - February 24, 2027) from the first official day of GAMA Expo are subject to a 50% cancellation fee.
- No refunds for cancellations or missed deadlines within 60 days (February 25, 2027) of the first official day of GAMA Expo due to committed funds and space.
All cancellations must be made in writing and sent by email to exhibitors@gama.org
Exhibitor Insurance for GAMA Expo 2026
All exhibitors/sponsors (contractors, vendors, or service providers) coming on to the convention premises to do work or provide services are required to have insurance. Insurance is necessary to cover any claims or losses for which the contractor/vendor may be responsible for. Exhibitors should request a Certificate of Insurance prior to the beginning of work and/or start of the contract. A Certificate of Insurance is a standard form issued by the insurance company evidencing the insurance information (including policy limits and types of insurance) of its policyholder.
Exhibitors must carry insurance for their individual booths. Please email your insurance to exhibitors@gama.org with subject “Company Name, Exhibitor Insurance.”
Rainprotection Insurance Program: If you do not have insurance, or you would rather not use your own insurance, (similar to when you rent a car – so that claims would not be filed against your policy), we are working with Rainprotection Insurance to offer Exhibitor Liability Insurance at an affordable rate. The program is set up with Rainprotection Insurance where, you can purchase compliant insurance instantly online for $99.

NOTE: If exhibitors have not submitted their Certificate(s) of Insurance (listing GAMA and the KICC as additionally insured) by Friday, January 31, 2026 - they will be billed $125 for insurance coverage. This change is in place to ensure the proper insurance coverage is in place for all exhibitors prior to arriving in Kentucky.
